Privacy Policy. SelectPdf PDF Editor.
What the editor sends, what stays on your device, and your rights.
This policy explains what SelectPdf PDF Editor (the "App") does with personal data on Windows, macOS, Linux and iOS. It is provided by Outside Software SRL, Bd. Dimitrie Cantemir, Nr. 5, Bl. 6, Sc. A, Et. 6, Ap. 24, Sector 4, Bucharest 040232, Romania, VAT ID RO16266620 ("we", "us"). We are the data controller for the data described here. Contact: support@selectpdf.com.
Our general Privacy Policy covers the website and our other products. If you buy from us or email us, it applies to that data too.
In short
- Your documents stay on your device. The App opens, edits, converts and recognizes text on your device. We never receive your documents or their contents.
- No account is needed. A trial starts without an email address or name.
- We don't collect your computer's name. A random-looking ID derived from your hardware identifies your device to our licensing service.
- Crash reports are optional. They are sent only if you agree, and they never contain your documents or file names.
- No advertising and no usage analytics. The App has no ad or analytics trackers, and we don't sell personal data.
What stays on your device
The App stores these on your device and does not send them to us: your documents, recently opened files, your settings, your digital IDs and saved signatures, and text recognized by OCR.
The file license.json, in the App's data folder, holds your signed licence or trial, your licence key, and the latest date the App has seen. Deleting it does not restart a trial.
What is sent, and why
Licensing (licensing.selectpdf.com)
To start and check a trial, or to activate, check, move or deactivate a licence, the App sends:
| Data | Purpose |
|---|---|
| Device ID: a keyed hash of a hardware identifier (Windows: SMBIOS UUID or MachineGuid; macOS: IOPlatformUUID; Linux: product UUID or machine ID; iOS: a random identifier created by the App and kept in the device's keychain). The hardware identifier itself is not sent. | Giving each device one trial and one seat per licence |
| Licence key, if you entered one | Finding your licence |
| Platform, product and App version | Issuing the right licence |
| Date of the last check | Showing support and you when a device was last active |
The short Computer ID shown in File > License is the start of the device ID. Sending it to support lets us look up your trial or licence.
With offline activation or deactivation, you carry a code holding the same device ID, product and platform to another device and enter it on licensing.selectpdf.com/offline/. Your licence key is entered there too.
As with any internet service, our server sees your IP address when the App connects. We use it for rate limiting and security, and it may appear in the server's standard logs, which are kept for 30 days.
Legal basis: performance of a contract (licences) and legitimate interest in preventing trial and licence misuse (trials).
Updates (updates.selectpdf.com)
The App checks for new versions and downloads them from our server. The daily check can be turned off in Preferences. Our server sees your IP address and the files requested. Legal basis: legitimate interest in keeping the App working and secure.
Optional downloads
Large optional parts, such as OCR languages and other components, are downloaded when you first use them. Their list comes from our server, and our server sees your IP address. The EU Trusted Lists, used to check signatures, come from our server in the same way when a document first has a signature, and can be turned off in Preferences.
If you choose to get fonts in the App, the font list and files come from Google Fonts, so Google sees your IP address. See Google's Privacy Policy.
Crash reports (only if you agree)
The App asks once whether to send crash reports. You can change your answer in Preferences at any time. If a crash happens, the next start asks or sends a report according to your choice.
A report contains: the App version, the operating system and its version, your licence plan, the type of error, the names of the program functions involved, and an error code for a crash in native code.
A report never contains: your documents, file names, error messages (they can contain file names), memory dumps, your licence key, or your name.
Reports go to Sentry (Functional Software, Inc.), which acts as our processor, on its EU (Germany) data servers. We have set our Sentry project not to store IP addresses.
Legal basis: your consent, which you can withdraw at any time.
Features you start yourself
- Time stamps and signature checks: signing with a time stamp sends a hash of the document, not the document, to the time stamp server you choose. If you turn on online revocation checks, checking a signature contacts the servers named in the certificate. Adding long-term validation information does so as well.
- Web page to PDF: the App connects to the address you enter, as a browser would.
- Links: opening a link in a PDF, or the App's links to our website, uses your browser or the target site, and that site's own policy applies.
Payments
The seller of purchases from our website is Sold through Link, LLC ("Link"), using Stripe Managed Payments. Link is the merchant of record and receives your payment details and billing address as an independent controller, under its own privacy policy. We don't see your full card number. We receive what we need to issue your licence, such as your email address, plan and order details. Our general Privacy Policy covers order records.
Purchases in the App Store are handled by Apple, under Apple's terms.
Support
If you email us, we receive what you send, such as your Computer ID or the App's version information. The general Privacy Policy applies.
Who receives data
We don't sell personal data or share it for advertising. We use: our hosting provider for the licensing and update servers (in the UK), Sentry for crash reports if you agree, Google for fonts if you request them, and Sold through Link, LLC with Stripe for payments. We may disclose data when the law requires it.
Data may leave the EEA where a provider operates elsewhere. The UK is covered by an EU adequacy decision. For others, we rely on an adequacy decision or the European Commission's standard contractual clauses.
How long we keep data
| Data | Kept for |
|---|---|
| Trial record (device ID, platform, dates) | 3 years after the trial ends |
| Seat record (device ID, platform, dates) | While the seat is held, removed when it is released or moved |
| Licence and order records | As in the general Privacy Policy (up to 10 years where tax law requires) |
| Crash reports | Up to 90 days |
| Server logs, which may include IP addresses | 30 days |
| Unsent crash reports on your device | Up to 30 days, at most 5 reports |
Your rights
If you are in the EEA, the UK or Switzerland, you can ask for access, correction, erasure, restriction or portability of your data, object to processing based on legitimate interest, and withdraw consent. Email support@selectpdf.com and include your Computer ID, so we can find your data. We reply within 30 days.
You can complain to the Romanian authority ANSPDCP (dataprotection.ro), your local authority, or in the UK the ICO (ico.org.uk).
If you ask us to delete your trial record, that device could take a new trial, so we may keep a minimal record to prevent this, where the law allows.
Children
The App is not directed at children under 16, and we don't knowingly collect their personal data.
Security
Connections to our services use HTTPS. Licences are cryptographically signed, and crash reports are limited to the fields listed above.
Changes
We may update this policy, and will change the date above. If a change matters significantly, we will say so in the App or on our website.
